Quick Guide
- Go to Resources / Employees / Employee activity history.
- Select the studios you want to check in the facility picker at the top of the page.
- Choose a date range of up to 14 days.
- If needed, filter by employee or by entity type.
- Check the Description column to see what was changed, and click the changed object to open it.
Prerequisites
- Permission: Employees & Resources / Employee Management / Employee activity history. You assign the permission in the role settings.
- The predefined admin role and the predefined office role have this permission by default. For custom roles, you need to tick it yourself.
- The permission applies per studio. You only see entries for studios in which your role has this permission.
Opening the employee activity history
The employee activity history shows the changes that employees made in the Software, for example to employee data, roles, shifts, rates or vouchers. It helps you to see who changed what and when.
- Go to Resources / Employees / Employee activity history.
- Select one or more studios in the facility picker at the top of the page. If you do not select a studio, the first studio for which you have the permission is used.
The page shows the entries of the last 14 days. The newest entries are at the top. More entries load as you scroll down.
Reading the overview table
Each row is one change made by an employee. The table has these columns:
| Column | Content |
|---|---|
| Time | The time of the change, with the date below it. |
| Employee | The employee who made the change. |
| Entity type | The type of object that was changed, for example Shift or Rate. All types are listed in What is tracked. |
| Effected Entity | The object that was changed (the column header is spelled exactly like this in the interface). Click it to open the detail page of the object. Deleted objects are not linked. |
| Entity action | The kind of change: CREATE, EDIT or DELETE. |
| Description | The properties that were changed, each with the old and the new value. |
| Facilities | The studios the change belongs to. If a change belongs to several studios, you see the first one and the number of further studios, for example +2. If you work with a single studio, this column may not be shown. |
For changes to employee data, the Description column uses labels such as Email, Username, Employee ID, Language, Role, Permissions added, Permissions removed, Password changed and Password reset on next login. Shift changes made with a bulk action are shown as Shifts changed in bulk action.
Filtering entries
Use the date range and the filter above the table to narrow down the entries:
- Date range: select a Start date and an End date. The period can be up to 14 days, including the first and the last day. Future dates cannot be selected. To check an earlier period, select another range of up to 14 days.
- Employee and entity type: click Filter. In the Columns field, choose Employee to see only the changes one employee made, or Entity type to see only changes to one type of object. Then select the value.
- Studios: use the facility picker Current facility at the top of the page. It only offers studios in which your role has the permission.
The entity type filter offers more entries than the Software currently records. If you select an entry that is not listed in What is tracked, the table stays empty.
Which entries you see
Every change is assigned to the studio it affects, not to the studio of the employee who made it. For example, if an employee of studio A creates an employee in studio B, the entry belongs to studio B.
- Roles and shifts: the entry belongs to the studio of the role assignment or the shift.
- Employee data, access data and absences: the entry belongs to the studios of the employee concerned.
- Rates, taxes, cash rounding, check-in discounts, vouchers, accounting periods, chargebacks, shared contracts and access restrictions: the entry belongs to the studios of the changed object.
You only see entries of studios in which your role has the permission Employees & Resources / Employee Management / Employee activity history. Entries of other studios are not shown.
What is tracked
The employee activity history records changes to the following entity types. The names in the second column are the entries of the entity type filter and of the Entity type column.
| Area | Entity types | What is recorded |
|---|---|---|
| Employees | Employee, Employee access data, Employee absence | Creating, editing and deleting employees, their access data and their absences. |
| Roles and permissions | Employee facility role, Role permission, Role changes in K64 | Roles assigned to, changed for or removed from employees per studio, and permissions added to or removed from a role. Role changes in K64 only appears for older entries. |
| Shift planning | Shift | Creating, editing and deleting shifts, including changes made with a bulk action. |
| Rates | Rate, Flat fee rate, Module rate, Rate detail, Rate detail payment frequency | Changes to rates, their flat fees, modules, details and payment frequencies. |
| Taxes and cash rounding | Custom tax rate set, Custom mixed tax rate detail, Cash rounding configuration, Cash rounding rule | Changes to custom tax rates and to the cash rounding setup. |
| Check-in discounts | Check-in discount configuration, Check-in discount configuration rate restriction | Changes to check-in discounts and the rates they are restricted to. |
| Vouchers | Voucher definition configuration, Voucher definition configuration condition, Voucher definition configuration companies, Voucher definition rate restrictions | Changes to voucher definitions, their conditions, the assigned companies and the rates they are restricted to. |
| Accounting and chargebacks | Accounting period configuration, Charged back configuration set, Charged back configuration | Changes to the accounting period setup and to the chargeback configuration. |
| Contracts and access | Shared contract customer group configuration, Access restriction rule configuration | Changes to customer groups for shared contracts and to access restriction rules. |
For each entry, the Entity action column shows whether the object was created (CREATE), edited (EDIT) or deleted (DELETE).
What is not tracked
- Automated processes: changes made by automated jobs and other system processes are not recorded. The employee activity history only shows changes that an employee made.
- Older changes to employee data: changes to employees, their access data, absences, shifts, roles and role permissions are recorded from August 2026. Earlier changes of these types do not appear.
- Entity types not listed above: entries of the entity type filter that are not listed in What is tracked show no results.
Changelog on the employee profile
You can also see the changes for a single employee directly on the employee profile:
- Open the profile of the employee.
- In the tab group Administration, open the tab Changelog.
The tab lists changes to the employee data, the role assignments per studio and the anonymisation of the employee. The entries are grouped by month and year. Click Collapse all to close all entries, and Jump to date to go to a specific date. If there are no changes, the tab shows no data.
The tab requires the same permission as the overview page. You only see entries for studios in which your role has this permission.
