Would you like to charge a trainer fee every six months, or bill a service fee once a year? You can set that up in the software.
Flat fees can be created in two places.
You can add a flat fee to a rate directly while you create the rate, or assign it to a rate later.
The other way is Settings / Membership management and then Flat fees.
There you select New flat fee at the top right. You can give the flat fee a name, set an amount, and choose the frequency in which it is charged.
Opening a flat fee that already exists lets you add a payment type. The three-dot menu lets you edit or delete it.
Keep in mind that when you conclude a contract with a member, you can adjust every amount stored in a rate individually during the sales process. Your employees can only do that if you have granted them that function under Roles.
Keeping the due date on a contract switch
On a contract switch, whether upgrade or downgrade, you can carry the due date of a running flat fee over to the new contract instead of restarting it. This prevents a flat fee that has already been paid in the current period from being charged again too early. The requirement is that the new rate contains the same flat fee with the same payment frequency.
To do that, activate the option Keep due date on contract switch in the advanced settings of the flat fee. The option is deactivated by default, for new and for existing flat fees. Amounts already paid are neither prorated nor refunded on the switch, the next collection still takes place on the original date.
