Prerequisites
- Permission: You need the permission Create contract amendment. Without this permission, you cannot create contract amendments.
- Validity: Contract amendments are intended only for recurring payment frequencies.
- Planning note: The start of a contract amendment is defined via a term. A freely selectable start date is not available.
Manage contract amendment in the member contract
You create the contract amendment directly in a member’s contract. You can specify from which term the change should apply.
- Open the member and go to the contract view.
- In the contract, open the menu via the three dots on the active contract: Manage contract amendment
- In the dialog, you will see the current contract data (e.g., payment frequency/price) as the baseline.
- Define the changes you want:
- Payment frequency: Interval and unit (e.g., days/weeks/months/years)
- Price: Price matching the selected interval
- Renewal term: Length and unit of the term
- Due date: Depending on the term (e.g., weekday for weeks, day of month for months)
- Start of the contract amendment: Select the term from which the change should apply. The system shows the next terms (with term number and start date) for orientation.
- In the lower area, check the preview of the effects.
- In the summary, review all changed values and save.
Afterwards you will see an overview of the contract amendments already created for the contract. Depending on permissions/status, you can also remove a contract amendment.
Create contract amendment via bulk edit
If you want to make the same changes for multiple members, use bulk edit.
- Open Bulk edit and select the action for contract amendments
- Select the list of members you want, which you previously created using member lists
- Enter the new values (e.g., payment frequency, price, renewal term, due date).
- Review the summary and confirm the bulk edit.
Important: A contract amendment created via bulk edit always automatically applies to the next apply term. You cannot select a term and cannot define a start date.
What happens after saving?
-
Start/Effectiveness:
- In the member contract: The contract amendment applies from the term you selected.
- In bulk edit: The contract amendment automatically applies to the next apply term.
- Impact: Contract amendments are considered in the Contract contribution journal and in Contribution adjustments.
- History: The change is visible as an entry in the member’s history.
- Note on contribution adjustments: Existing contribution adjustments continue to be applied based on the new price.
- Limitation: Applying changes to sub-contracts (e.g., modules/packages) is not part of the current scope.
