Prerequisites
If you can't find an area in the sidebar on the left, click the last entry there, More. Use Customize navigation to choose which areas appear directly in the sidebar.
Your role needs the permission Manage advanced booking rules for services. You find it in the role settings in the Settings / Services area.
How advanced booking rules work
Every service already has its own setting for how early members can book it. Advanced booking rules let you set this earliest booking time differently for certain groups of members, for example 7 days in advance for members on a standard rate and 14 days for members on a premium rate.
A configuration bundles one or more earliest booking rules. Each rule defines a period and the members it applies to. The rules apply to bookings of classes and appointments.
- If a rule applies to a member, it replaces the earliest booking setting of the service for this member.
- If no rule applies to the member, the setting of the service remains in force.
- Only one configuration is active per studio. The configuration active in the member's studio is used.
As soon as a configuration is active, the booking settings of a service show a note that a booking rule configuration is active and may override these settings, together with a link to the configuration.
Create a configuration
- Go to Settings / Services / Advanced Booking Rules. The list shows all existing configurations and the studios they are active in.
- Click Create advanced booking rule.
- Enter a Name and choose a Color. Define the studios for which the configuration is available.
- Save. The configuration opens and does not contain any rules yet.
Create an earliest booking rule
- Open the configuration and click Create Earliest Booking Rule.
- Enter a Name for the rule.
- Under Term Value and Term Unit, define how far in advance the members can book at the earliest. Available units are Minutes, Hours, Days, Weeks, Months and Years.
- Under Applies to, choose which members the rule applies to (see the table below).
- Save.
| Applies to | The rule applies to members who ... |
|---|---|
| Rates | have a running contract with the selected rate. You select one rate per rule. Under Terms you can limit the rule to one term of this rate; without a selection it applies to All terms. |
| Member codes | carry at least one of the selected member codes. |
| Rate codes | have a running contract, or an add-on module, with at least one of the selected rate codes. |
You can change or delete existing rules at any time via the three-dot menu in the row of the rule.
Activate the configuration for studios
A configuration only takes effect once it is active in a studio.
- Go to Settings / Services / Advanced Booking Rules.
- Open the three-dot menu in the row of the configuration and click Activate. Alternatively, use Activate in the menu of the opened configuration.
- Select the studios and confirm.
If another configuration was active in one of the selected studios, it is replaced there. In the opened configuration, the label Activated in this studio shows that it is active in the current studio.
Which rule applies
If several rules of the active configuration apply to a member, the rule with the longest period applies. Example: a member has a contract with a rate for which 7 days apply and also carries a member code for which 14 days apply. This member can book 14 days in advance at the earliest.
The following are taken into account for the date of the class or appointment:
- contracts that have already started and have not ended yet, including their add-on modules,
- active rate codes of these contracts,
- active member codes of the member.
