Page overview
You reach the debt collection settings at Settings / Finance / Debt Collection. You need the Debt collection settings permission to access this page.
Here you can manage your active debt collection partners and adjust the debt collection master data of your studio. If you use MemberCash, you can also configure here whether and how your members' contracts are cancelled when the purchase limit is reached.
The page is divided into the following sections:
| Section | Purpose |
|---|---|
| Active debt collection partner | Shows the currently active partner; allows switching or deactivation. |
| Debt collection configuration for MemberCash claim returns | Configures automatic transmission and partner assignment for MemberCash returns. |
| Contract cancellation on claim returns | Sets up automatic cancellation options for MemberCash purchase-limit returns. |
| Debt collection and transmission settings | Defines file closure behaviour and handling of remaining claims. |
| Studio master data for debt collection | Studio-specific master data used in debt collection transfers. |
Switching the active debt collection partner
If you want to change which debt collection partner receives new case transfers, use the Switch debt collection partner button in the Active debt collection partner section.
When you activate a new partner, the following happens:
- Your currently active debt collection partner is deactivated.
- You will continue to receive updates from the previous partner on already transferred files.
- All new debt collection runs will be transferred to the new partner.
Before the switch takes effect, confirm the action by ticking the confirmation checkbox. No historical data is lost. Already open files remain with the previous partner until they are closed.
Deactivating the debt collection partner
To remove your active debt collection partner without immediately assigning a replacement, click Deactivate debt collection partner in the Active debt collection partner section.
After deactivation:
- No new debt collection cases can be transferred until you activate a new partner.
- Updates to already transferred debt collection cases continue to be registered and processed.
Debt collection configuration for MemberCash claim returns
This section is relevant only if your studio uses MemberCash. The debt collection partner configured here receives claim returns from your members after a MemberCash payment run.
Use the Activate automatic transmission toggle to control whether claim returns are forwarded automatically.
| Toggle state | Behaviour |
|---|---|
| Activated | Claim returns from MemberCash with the reasons Purchase limit and Claim not purchasable are automatically transferred to your configured debt collection partner. After activation, you can also configure automatic contract cancellations. |
| Not activated | Claim returns are not forwarded automatically. Manual handling is required. |
Contract cancellation on claim returns
This section lets you define what happens to a member's contract when Finion Capital returns a MemberCash claim with the reason Purchase limit or Claim not purchasable. It is only available after activating automatic transmission.
If you configure an automatic contract cancellation, the cancellation is carried out before the transfer to your debt collection partner, and the transfer amount is increased by any compensation claims and residual maturities.
Membership cancellation options
| Option | Effect |
|---|---|
| No automatic cancellation | The member's contract is not automatically cancelled. |
| Immediate extraordinary cancellation | The contract is immediately cancelled extraordinarily. |
| Cancellation at end of current service period | The contract is cancelled extraordinarily at the end of the current service period. |
| Ordinary cancellation | The contract is cancelled at the next possible ordinary cancellation date. |
Additional options
- Make contract fully residually due: all of the member's contracts are immediately made residually due.
- Access block: the member receives an access block.
- Amount of compensation claim: a configurable amount added to the transfer to the debt collection partner.
- Cancellation date: configures the timing of the cancellation.
File closure behaviour
The Configuration for remaining claims on positive or negative file closure section defines how the system handles claims that remain unpaid after a debt collection case is closed.
Remaining claims are those that are still unpaid after positive or negative closure, i.e. when recovery was fully or partially successful.
| Option | Effect |
|---|---|
| Write-off based on the debt collection partner's notification (recommended) | The system writes off claims as soon as the debt collection partner transmits a corresponding notification. No manual action is required. |
| Apply payment and write-off while the file is still open | Payments and write-offs are processed while the debt collection case is still open. Configure whether this happens Immediately or whether amounts are Ignored. |
