General
Your members should feel comfortable and optimally looked after! You are immediately one step closer to this goal if your team can quickly view important information.
Here are some examples of such information:
- The member does not like to be addressed by his first name.
- Anna likes the strawberry shake best.
- Hans gets free drinks.
- The member has paid a 10 Euro card deposit.
These useful notes are collected in the member file, in the widget “Notes”.
Creating notes
Three short steps and the note is stored in the system:
1. Click the "Add note" button
2. Write the corresponding information in the pop-up window
2. Select the correct Type of note - ”Info”, “Warning”, “Critical” or * “Confidential”
* Notes in the “Confidential” category can be restricted in access and visibility via a dedicated right in the roles and are therefore only reserved for the group of users who have this right. Users without this right can neither see, create, nor edit these notes. This scope of restrictions can only be defined for this note type
3. Click on “Save”
All created notes are listed in the Notes widget. You will find the most recent notes at the top.
A note has the following elements:
- The text of the note
- The author of the note
- The time of creation of the note
- The category icon
You can also change the view. In the upper part of the widget you will find four icons. They symbolize the four categories of notes (“Info”, “Warning”, “Critical” and “Confidential”). Clicking on the icons, filters the notes displayed. If, for example, all icons except “Warning” are greyed out, only the notes from the category “Warning” will be displayed.
Editing notes
Click the three-dot icon to edit or delete notes.
A click on it opens a pop-up where you can change the text of the note. After saving, the author of the note and the date are updated. No longer the date of the creation of the note is shown, but the date of the last change.
Note
Already at the check-in, you can see whether notes are stored for the member.
